Executive Assistant
  • Provide high-level administrative support to senior executives located abroad
  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements
  • Prepare meeting agendas, take minutes, and follow up on action items
  • Draft, edit, and proofread documents, reports, and presentations
  • Handle confidential information with the utmost discretion
  • Assist with the preparation and coordination of corporate events and projects
  • Serve as a liaison between executives and other staff members
  • Conduct research, upload and compile data to assist with decision-making
Office Management
  • Oversee daily office operations to ensure a smooth workflow
  • Manage office supplies, inventory, and equipment maintenance
  • Coordinate with IT to address technical issues and ensure the functionality of office systems
  • Handle correspondence, including emails, phone calls, and mail
  • Maintain a clean, organized, and professional office environment
  • Plan and coordinate office events, meetings, and conferences
  • Ensure compliance with health and safety regulations
  • Manage office budget and expenses, including processing invoices and managing petty cash
Perfil ideal
  • Bachelor's degree in Business Administration, Management, or related field preferred
  • Proven experience as an Office Manager, Executive Assistant, or in a similar role
  • Over 5 years of experience in similar roles
  • Exceptional organizational and multitasking abilities
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software
  • Ability to handle sensitive information with discretion and confidentiality
  • Excellent problem-solving skills and attention to detail
  • Ability to work independently and as part of a team
  • Professional demeanour and a positive attitude
