Reporting to the Office Manager your daily responsibilities will be the following:
Greet visitors warmly, sign them in, and direct them appropriately.
Answer and direct incoming calls, handle inquiries, and take messages as needed.
Manage the reception area to ensure it is tidy, organised, and welcoming.
Receive, sort, and distribute incoming mail and deliveries; coordinate outgoing mail and packages.
Maintain visitor logs, issue visitor badges, and uphold office security protocols.
Assist with administrative tasks such as data entry, filing, and document management.
Oversee the reception, scheduling, and management of meeting rooms within the hub, being the point of contact for internal visitors.
Ensure meeting rooms are properly prepared, including cleanliness, furniture arrangement, and AV/IT setup.
Coordinate booking requests to avoid scheduling conflicts and support teams in securing appropriate spaces.
Provide on-site support during key meetings/events, addressing technical or logistical needs.
Monitor meeting room utilisation and escalate recurring issues to management when necessary.
Monitor and maintain common areas, break rooms, and conference/meeting rooms to ensure they are clean, organised, and fully stocked with office supplies.
Assist with meeting room setup, including arranging furniture, setting up equipment, and ensuring AV functionality.
Coordinate with Landlord vendors for maintenance, repairs, and cleaning services as needed.
Support minor hands-on tasks such as moving small office equipment, organising storage areas, or assisting with office re-configurations.
Monitor and manage kitchen supplies, ensuring items are replenished on a regular basis.
Maintain kitchen areas to ensure they remain clean, organised, and welcoming.
Perfil ideal
The successful candidate will have:
Proven experience in a receptionist, front desk, or administrative support role.
Excellent communication and interpersonal skills with a customer-service mindset.
Strong organisational skills and attention to detail.
Ability to multitask and remain calm under pressure.
Proficiency in MS Office Suite and familiarity with booking systems or room management tools is an advantage.
Professional appearance.
Fluency in English and Portuguese, both written and spoken, is required. (Other languages is a plus)
